Activities Switchboard

You navigate to GRYPHON's features from the Activities Switchboard, guided by colorful, easy to understand buttons. Once you become familiar with the buttons on this one screen, you'll have mastered ninety percent of the GRYPHON interface, because they mean the same thing wherever found. For example, the dollar sign button always means billing and the ABC button always means documents.

Case Management

The Matters screen is "command central." It maintains all the details of a matter, including lists of the parties, witnesses, attorneys and court officers, as well as calendar and action items, notes, documents exchanged and phone calls pertaining to the case

Contact Management

GRYPHON manages all your contacts. Through the Players screen it allows for searching and filtering by any number of criteria (including user-defined keywords), lets you perform mail merges, and provides for unlimited phone numbers (including international numbers) for each entry, as well as e-mail and Internet addresses.

Time & Billing

GRYPHON integrates comprehensive management of hourly, flat fee and contingency billing. Create bill slips as you go, while performing any activity in the system. Most information is filled in for you automatically. See at a glance totals by account and matter, produce aging reports, review pre-bills, produce invoices and statements — singly or in batch mode — all with just a few mouse clicks. GRYPHON will also calculate finance charges on aged balances, according to the terms and percentage you set for the entire office or for individual matters.

QuickBooks interface

GRYPHON interfaces directly with Intuit's QuickBooks, enabling you to transfer information directly to your QuickBooks chart of accounts, and to read information from QuickBooks into Gryphon.

Calendar & Docketing

GRYPHON calendars appointments and deadlines (also known as to-do's or tasks), and lets you create reminders for both appointments and deadlines. You may calendar an item independently, or directly from a Document Log Slip or Phone Log Slip, with much of the information filled in.

Rules-based calendaring

You may also calendar items from sets of user-definable timelines, commonly referred to as Rules-Based Calendaring.  You may define an unlimited number of timelines, reflecting internal business practice rules as well as court rules for the jurisdictions in which you practice.

Recurring dates wizard

Gryphon enables you to enter recurring events with the Recurring dates wizard. Events can recur daily, weekly , monthly or yearly. The wizard gives you great flexibility in setting up a series of events. For example, you can choose the day or nth day, the interval (e.g., every week, every third week) the number of times an event should recur and so on.

Date calculator

Gryphon's handy Date calculator figures the number of days between two dates or finds a date backward or forward from a given start date.

Calendar views

The graphical Calendar gives you daily, weekly, monthly, yearly and unique multi-timekeeper view, as well as your complete Action! List. The Action! List, filtered for individual matters, is also available in the Matters screen. You may print out your daily or weekly schedule directly from the Calendar screen.

Document management

Case information stored in GRYPHON links directly to Microsoft Word (through Office 2000) or Corel WordPerfect (through version 9) to create correspondence, memoranda and pleadings automatically. GRYPHON comes with customizable templates that expand to seventy different document types. And you can add your own templates.

GRYPHON keeps track of each document in and out of your office. Through the Document Log slip, when you create documents, GRYPHON names and saves them, and records their location. In addition you can log documents from external sources, such as deposition transcripts or scanned-in illustrations. From the Matters screen, you can view the chronological flow of documents associated with a particular case. From the Document Tracker, you can see any case’s document clips. And GRYPHON lets you retrieve, view and print any document with just a few clicks of the mouse.

The Document Log tab on the Matters screen acts like the Document Tracker, but filtered for the chosen matter.

Telephone management

GRYPHON allows you to auto-dial, even using billing codes for those of you whose phone system requires that a "client code" be entered before a phone call can be made. The Phone Log slip enables you to maintain precise information about every call. And the Phone Log Tracker gives you both a chronological overview of your calls and access to the detail.

The Phone Log tab on the Matters screen acts like the Phone Log Tracker, but filtered for the chosen matter.

Practice safeguards

Conflict of interest checking

Conflict of interest checking: GRYPHON performs robust conflict checking by cross-tabulating names and organization names across the system. You may do wildcard searches, and even check notes and user-defined keyword entries.

Statute of limitations checking

Statute of limitations checking: A simple mouse click instantly shows you the deadline date and matter name for every plaintiff’s case where the statute is running and you have not yet filed a complaint.

Inactivity checking

Inactivity checking: Make sure every matter is getting the attention it requires. The Inactivity Check "ages" the activity in a case, and lets you see the last activity in 30, 60, 90 and 90+ day intervals.

Automated Proof of Service

GRYPHON automates preparation of your Proof of Service, letting you indicate the manner of service (e.g. mail, overnight, personal) for each party served, specify which party, if any, is receiving originals, and show whether you’ve addressed the service to an individual lawyer or a firm.
